Peer Review Process / Policy

All submitted manuscripts are subjected to a double-blinded peer review process. Also, it goes through necessary plagiarism check. After ensuring the completeness of the article, it is forwarded to undisclosed reviewers for peer review and detailed responses. Authors mostly get the decision on their manuscript within 4–6 weeks (revision stages may extend this timeline by up to 2 additional weeks).

Original research in humans and animals require a letter of approval from the Institutional Ethics Committee or a letter stating that the Institutional Review Board has waived the need for informed consent. For prospective interventional trials, registration with trial registries such as Clinicaltrials.gov is mandatory.

All research shall be conducted as per the WMA Declaration of Helsinki – Ethical Principles for Medical Research Involving Human Participants (updated in 75th WMA General Assembly, Helsinki, Finland, October 2024 https://www.wma.net/policies-post/wma-declaration-of-helsinki/ ).

The research must adhere to the core principles of research ethics:

• Privacy and confidentiality
• Justice and beneficence
• Right to review

Article Processing Charges (APC)

This journal does not charge any fees for manuscript submission, processing, or publication. Authors are not required to pay any article processing charges (APC) or submission fees at any stage of the publication process.

All articles are published free of cost as part of the journal’s commitment to open access and the dissemination of scientific knowledge.

Self-Archiving Policy

The Journal permits authors to self-archive the published version of the record immediately without embargo on their own webpages, on institutional webpages, and in other repositories with full link to the article webpage.

This Publication Ethics and Malpractice Statement is based on the Code of Conduct and Best Practice Guidelines for Journal Editors as per Committee on Publication Ethics , 2011, ICMJE & WAME .

Advertisement Policy

While advertisements may be crucial to this journal to be able to keep all content free for everyone, ethical considerations are in place to ensure the integrity of the journal and its content.

• "Pop-up" and "banner" ads appear on a random, rotating basis. The advertiser has no control or input over the pages where their ads appear.
• The Editorial Board has full and final approval over the content of all advertisements.
• Advertisements are clearly separated from editorial content and do not influence editorial decisions.

Editorial independence will be maintained and advertisements shall be treated separately.

Advertisements will not be accepted if they appear to be indecent or offensive in either text or artwork, or if they relate to content of a personal, racial, ethnic, sexual orientation, or religious nature.

Journal will not accept advertising for products or services known to be harmful to health, such as tobacco and alcohol products.

Privacy Statement

The names and email addresses entered in this journal site will be used exclusively for the stated purposes of this journal and will not be made available for any other purpose or to any other party.

Plagiarism Policy

Articles will be checked for plagiarism. Manuscripts are evaluated for plagiarism using similarity tools, and editorial judgment determines acceptability. Authors are encouraged to ensure originality prior to submission using appropriate similarity plagiarism checking tools to ensure higher possibility of acceptance.

The authors must ensure their plagiarism-free manuscript. In case of any plagiarism allegation in any form in a published article, the process of investigation will follow under ICMJE and COPE Guidelines. If proven, the article shall be retracted and further necessary actions may be taken.

We check for plagiarism in all articles to ensure article quality through iThenticate.

Retraction Policy

1. Retraction of the Publication

The publication of the article shall always be subject to the right of the journal to retract and remove the article from its website/portal if it is found at any time that:

• The subject matter has been infringing the Intellectual Property Rights (IPR), including copyright, respecting same, similar or identical subject matter belonging to a third party whether published or not.
• The subject matter has been published earlier by any means or in any form whatsoever.
• The subject matter and its publication amount to ethical misconduct.
• The publication of the subject matter is against public policy and against the provisions of any law of the land in force at the time.

2. Procedure Governing Retraction

The publication of the article shall always be subject to the right of the journal to retract and remove the article from its website/portal if it is found at any time that:

• On receiving a complaint or information from any source whatsoever, whenever it comes to the notice that the subject matter published in the journal is similar or identical respecting the same subject matter, which is authored by some other person, entity or institution prior to the date on which the author has submitted the subject article for publication in our journal, an explanation shall be called affording reasonable opportunity to respond in writing to the issue raised respecting the subject matter.
• The author shall, on receiving the notice to explain, submit his/her explanation within the period stipulated in the notice.
• On receiving the explanation, the editor may, within his/her discretion, and if deemed necessary and expedient, refer the issue in dispute to any expert of the field with a request to give his/her report containing an opinion on the merits of the subject matter.
• Based upon the complaint, explanation of the author, report/opinion of the expert and considering any other relevant material, the editor of the journal shall, after due application of mind, pass a final speaking order rejecting either the complaint or allowing the complaint backed by reasons. In the event it is decided by the editor to allow the complaint, he/she shall issue a show cause notice to the author calling upon him/her as to why the publication may not be retracted and removed from the website.
• The author shall, within 10 days of the receipt of the afore-stated notice, submit his/her explanation, following which the editor shall pass an order in terms of the show cause notice. In the event the journal editor passes an order directing removal of the article, the author shall not be entitled to any refund of the charges earlier remitted by him at the time of provisional acceptance of the publication.
• Decision of the Chief Editor and senior editors will be final.
• In the event the author is not satisfied and aggrieved by the final order of removal of the article from the website of the publication, the author may request the editor within 14 days of the receipt of the removal of the article from the publication to refer the issue in dispute to the arbitrator. The publisher, within a further period of 15 days on receipt of such request, shall refer the issue in dispute to the arbitrator.

Policies for Raising Complaints

The best way to reach us is by email. Complaints should ideally be made to the person the complainant is already in contact with over the matter being complained about. If that is not appropriate, please email complaints@ejmr.org.

Whenever possible, complaints will be dealt with by the relevant member of the editorial staff. If that person cannot deal with the complaint, he or she will refer it to a section editor or the executive editor.

Generative AI Usage Policy

Our journal recognizes that generative AI and AI-assisted tools may be used in scholarly research and manuscript preparation. To maintain research integrity, transparency, accountability, and confidentiality, authors, reviewers, and editors are expected to comply with the following principles.

1. AI tools cannot be listed as authors

Generative AI tools, including chatbots and other AI systems, cannot be credited as authors or co-authors of a manuscript. Authorship and accountability remain the responsibility of human authors who meet the applicable authorship criteria.

2. Disclosure of generative AI use

Authors must transparently disclose the use of generative AI or AI-assisted tools when such tools have contributed to the preparation, analysis, generation, or substantial modification of manuscript content.

Routine use of basic spelling, grammar, or language-editing tools that does not generate substantive content generally does not require disclosure. However, authors remain responsible for the final manuscript.

3. AI-generated text, tables, figures, or other content

Where generative AI has been used to generate new text, tables, illustrations, computer code, analytical outputs, or other substantive material, authors should clearly disclose this use in the manuscript.

Authors should provide sufficient information about the AI tool and its use to allow appropriate editorial and scientific evaluation. Where relevant, this should include the name/version of the AI tool, the nature and purpose of its use, and the prompts or other information necessary to understand or reproduce the AI-assisted work.

4. Author responsibility

Authors remain fully responsible for the accuracy, originality, integrity, and ethical acceptability of their manuscript, including any content produced or modified with the assistance of generative AI.

AI-generated material must be carefully verified. Authors are responsible for identifying and correcting inaccurate, fabricated, incomplete, biased, or misleading information and for ensuring that all references and citations are genuine, appropriate, and accurately represented.

The use of AI does not exempt authors from requirements concerning plagiarism, fabrication, falsification, copyright, proper attribution, conflicts of interest, or research ethics.

5. Confidentiality

Authors, reviewers, and editors must not upload confidential manuscripts, unpublished data, personal information, or other protected material to generative AI systems when doing so could compromise confidentiality, intellectual property, privacy, or the integrity of the peer-review process.

6. Use of AI by editors and peer reviewers

Editors and peer reviewers should disclose to the relevant editorial parties any use of generative AI in manuscript evaluation, review preparation, correspondence, or editorial decision-making.

Reviewers and editors remain responsible for the content and citations generated with AI assistance. They must also protect the confidentiality of submitted manuscripts and should not use AI tools in a manner that exposes confidential manuscript material.

7. Editorial assessment

The journal may use appropriate technological and editorial measures to identify potentially undisclosed AI-generated or AI-assisted content. Detection tools may support editorial assessment but will not, by themselves, constitute definitive evidence of inappropriate AI use.

The journal reserves the right to request clarification or additional information from authors concerning the use of AI in a submitted manuscript.

8. Compliance with ethical standards

Any undisclosed or inappropriate use of generative AI that compromises the originality, accuracy, attribution, confidentiality, or integrity of scholarly work may be considered during editorial assessment and may be handled in accordance with the journal's publication ethics and misconduct procedures.

This policy is based on the recommendations of the World Association of Medical Editors (WAME) concerning chatbots and generative AI in scholarly publications and may be updated as AI technologies and international publishing standards evolve.

Article Selection and Rejection Policy

EJMR follows a transparent, fair, and rigorous editorial process for the selection and publication of scholarly articles. Manuscripts are evaluated on the basis of their originality, academic quality, relevance to the journal's scope, ethical standards, and contribution to the field.

1. Initial Editorial Screening

All submitted manuscripts undergo an initial editorial assessment before being sent for peer review. The editorial team evaluates the manuscript for:

• Relevance to the aims and scope of the journal
• Originality and academic contribution
• Basic methodological and scholarly quality
• Compliance with the journal's submission and formatting requirements
• Appropriate ethical approvals and declarations, where applicable
• Completeness of the manuscript and required declarations

Manuscripts that are clearly outside the journal's scope, substantially incomplete, or do not meet the journal's basic editorial requirements may be rejected at this stage without external peer review.

2. Plagiarism and Similarity Screening

Submitted manuscripts are screened for plagiarism and inappropriate textual similarity using appropriate plagiarism and similarity-checking tools.

The presence of similarity does not automatically constitute plagiarism, as legitimate quotations, references, standard terminology, and commonly used technical expressions may contribute to similarity. However, manuscripts containing substantial unattributed copying, plagiarism, duplicate publication, or other forms of inappropriate content reuse may be rejected.

Where necessary, authors may be asked to provide clarification or revise the manuscript before the editorial process continues.

3. Double-Blind Peer Review

Manuscripts that successfully pass the initial editorial screening are normally subjected to a double-blind peer-review process, in which the identities of the authors and reviewers are concealed from each other to the extent practicable.

Manuscripts are evaluated by qualified reviewers based on factors including:

• Scientific or scholarly validity
• Originality and significance
• Methodological rigor
• Accuracy and clarity of presentation
• Quality and appropriateness of references
• Ethical compliance
• Interpretation and discussion of findings
• Relevance and potential contribution to the field

4. Editorial Decision

Based on the reviewers' comments and the independent judgment of the editorial team, a manuscript may receive one of the following decisions:

• Accept
• Minor Revision
• Major Revision
• Reject

A manuscript may be rejected when the reviewers or editors identify substantial concerns relating to originality, methodology, validity, ethical compliance, academic contribution, or other aspects that cannot be adequately addressed through revision.

The final publication decision rests with the Editor-in-Chief/Editorial Board and is not determined solely by the recommendation of any individual reviewer.

5. Reasons for Rejection

A manuscript may be rejected at any stage of the editorial process for reasons including, but not limited to:

• Plagiarism or substantial unattributed similarity
• Duplicate or redundant publication
• Fabrication or falsification of data
• Serious methodological or scientific weaknesses
• Ethical concerns or lack of required ethical approval
• Manuscript outside the journal's scope
• Insufficient originality or scholarly contribution
• Inadequate response to reviewer/editorial comments
• Serious deficiencies in reporting or documentation
• Breach of publication ethics or journal policies

6. Fairness and Editorial Independence

The journal aims to ensure that editorial decisions are based on the academic and ethical merits of the manuscript. Decisions are not based on an author's nationality, institutional affiliation, gender, race, religion, personal characteristics, or other irrelevant considerations.

Editors and reviewers are expected to disclose relevant conflicts of interest and maintain the confidentiality of submitted manuscripts.

7. Revisions Do Not Guarantee Acceptance

Invitation to revise a manuscript does not constitute a guarantee of acceptance. Revised manuscripts may be returned to the original reviewers or evaluated by the editorial team before a final decision is made.

The journal may reject a manuscript if the required revisions are not adequately addressed or if significant concerns remain.

8. Editorial and Peer-Review Integrity

The journal is committed to maintaining a rigorous and ethical peer-review process. The editorial team reserves the right to take appropriate action if concerns regarding plagiarism, research misconduct, unethical practices, or undisclosed conflicts of interest arise before or after publication.

Our article selection process is designed to ensure that published articles meet appropriate standards of originality, academic quality, research integrity, and relevance to the journal's readership.

Article Withdrawal Policy

Once an academic or scientific paper has been published by a journal, it's sometimes too late to withdraw it. Why because it is so important to learn all about the journal and be certain that it is the right home for your research before submitting the manuscript. Era’s Journal of Medical Research are committed to upholding publication ethics and providing high-quality articles to advance the intellectual agenda. We anticipate authors to follow the publication ethics as well as the quality of their articles. Some authors request withdrawal of manuscript forms the publication process after submission. In some cases, the withdrawal request is made very late, when the article is only a few days away from publication in the journal. Withdrawing manuscripts after publication may cause amount of time to be wasted in processing the manuscripts by the editors, reviewers, and the editorial board members. Authors are requested to decide before submitting the manuscript. Ideally, these should be decided even before beginning to write the manuscript.

To Avoid Withdrawal of a Manuscript

We request the authors, especially to the corresponding author or the first author, to address the following issues before submitting the manuscript:

• Check several times that the facts and data presented in the manuscripts are error-free and accurate.
• Confirm that the facts and data included in the manuscript are the authors' own work and that authors are permitted to use the materials and resources as they have been used in the study.
• Verify that all authors agree to the presentation and interpretation of the facts and data given in the manuscript. In case of any changes of opinion, address all the authors before submitting the manuscript for publication
• Before submitting the article for publication, inform all the authors, the name of the journal to which the manuscript is being submitted and give them a copy of the final article.
• Justify that all the authors agree on the specific journal to submit the manuscript for publication. If there are any disagreements about the selection of the journal, find a journal agreeable to all authors before submitting the manuscript for publication.
• Submit the manuscript to only one journal for consideration. Do not submit it to another journal at the same time.
• The journal does not accept withdrawal of the manuscript once it is accepted by another journal.
• If the authors do not reply to communication from the editorial office, even after multiple reminders, at any stage of the publication process. Era’s Journal of Medical Research holds all rights to disclose the authors conduct and manuscript content without further approval from the authors, and cannot be held responsible for the consequences arising from it

Article may be withdrawn within 2 days of submission of the article. The withdrawal request must be followed via mail at ejmrediotor1@gmail.com/Contact us page. Manuscripts (articles) once processed for peer review process or published online shall be withdrawn with penalty paid to the Editorial office of Era’s Journal of Medical Research. Withdrawal of manuscript after publication if paid by the authors, the publication charges will not be refunded. In limited number of cases, it may be necessary to remove a published article from our online platform. This will only happen if an article is clearly defamatory, or contravene, legal rights, or we have good reason to expect that it will be, the subject of a court order, or where the article, if acted upon, may pose a serious health risk. In such circumstances, the Editorial office of Era’s Journal of Medical Research, will provide the corresponding author a formal letter of manuscript withdrawal.

How Author Write a Withdrawal Letter to the Journal?

If you would like to withdraw your paper from a journal, you will have to send a withdrawal request. You should mention the title of the article, the manuscript ID, the submission date, and the reason for withdrawal. Additionally, you should request withdrawal from the editor, as the withdrawal process will be completed only after you receive confirmation.
